5.4 Working directly with your client

Managing the relationship after the introduction

Once you’ve started the conversation, the relationship between you and the traveller becomes a direct one.

Horizon Guides is designed to connect travellers directly with specialist operators, not to sit between you and your clients during the booking process. From this point on, you can communicate with the client in whatever way works best for planning their trip.

Most partners will:

• Develop the itinerary directly with the client
• Send a proposal or quotation
• Confirm the booking through their usual systems
• Take payment directly

This approach allows you to maintain full control over the planning process and build a personal relationship with the client from the beginning.

Recording the outcome

When an enquiry reaches its conclusion — whether or not it becomes a booking — record the outcome so your dashboard stays accurate and we can see how enquiries are progressing.

Open the enquiry and use the Status dropdown at the top of the Summary panel (it reads Open while the enquiry is live):

  • Mark as won — for a confirmed booking. You'll be asked for the departure date, group size, booking value and currency. The enquiry moves to your Won tab.
  • Mark as lost — if it won't go ahead. You'll be asked to choose a reason, and the enquiry moves to your Lost tab.

Keeping outcomes up to date gives you a clear picture of how your enquiries are converting — and helps us understand how well the platform is working for you.
