How to track and manage your enquiries
Every enquiry you receive is tracked in one place: the Results section of the partner admin. Think of it as a simple pipeline that shows where each traveller is in their journey with you — from first contact through to a confirmed booking.
The four stages
Enquiries move through four stages, shown as tabs across the top of the Results page. Each tab shows a count, so you can see at a glance how many enquiries are sitting at each stage.
- Incoming — a new enquiry you haven't replied to yet. These are your priority: travellers are most likely to book with the partner who replies first.
- Active — an enquiry you've started a conversation with.
- Won — an enquiry that became a booking.
- Lost — an enquiry that won't be going ahead.
How enquiries move through the pipeline
- Every new enquiry starts in Incoming.
- The moment you send your first reply, it moves to Active automatically — there's no extra step.
- When the enquiry reaches its conclusion, you mark it Won or Lost yourself (see Recording the outcome).
This keeps your Incoming and Active tabs focused on the conversations that still need your attention.
Never miss a new enquiry
Whenever you have enquiries awaiting a first reply, a small bell appears next to Results in the sidebar. It's a quick reminder that travellers are waiting — and since they tend to book with whoever responds first, it's well worth acting on promptly.
Opening an enquiry
Click a traveller's name in the list to open their enquiry and start the conversation. (See the next guide, Responding to enquiries.)
Tidying up several enquiries at once
On the Incoming and Active tabs you can select multiple enquiries using the checkboxes and mark them all as lost in one go — handy for clearing out older enquiries that never progressed. Hold Shift while clicking to select a whole range at once.
Exporting your enquiries
If you'd like to work with your enquiries outside the platform — in a spreadsheet or your own CRM — use the Export CSV button at the top of the Results page. The file includes each traveller's name and contact details, their trip, tour type, group size, departure date, when the enquiry came in, when it was last contacted, and its current status.
